To begin this project I would visit the practice for one day and spend time with your practice manager or another team member that has extensive knowledge of the practice. Together we would work through my list of 45 systems – adding or deleting where necessary for the practice.
Your practice manager will then begin to write some of the systems with my help and guidance and we will also begin to delegate some systems to other team members.
The system folder is not often a project that is completed in an instant. Once the entire list of systems has been created, the draft folder needs to be sent to me. A conference call with your practice manager will then take place to review the entire folder and its contents.
Thereafter each super -system that is created can be sent to me and reviewed in the same way.
The end result is a practice system folder which needs to be passed to each team member for them to read, review, learn, and immediately incorporate.
To guarantee commitment and compliance from your team I produce a document that all staff are required to sign stating that they have understood the systems and agree to follow them to the letter.
The system folder also acts as a great tool for new employees - an aid for them to understand the practice structure; what is expected of them in your practice.
